How it works

What we’ll need from you

To run your payroll we need your employees’ details and starting tax information, the hours or salaries for each period, and prompt notice of any starters, leavers or changes to pay. For statutory payments we need the relevant dates and supporting evidence. If you operate a workplace pension, we need the scheme details and your provider’s file requirements. Sending us changes ahead of your pay date gives us time to process everything accurately rather than under pressure.

Frequently asked questions

If you run our payroll, are we still responsible for our auto-enrolment duties?

Yes. We can carry out the administration (assessing your workforce, preparing contribution files and dealing with opt-ins and opt-outs), but the employer remains legally responsible for meeting its automatic-enrolment duties. Delegating the work does not transfer the legal responsibility, so we keep you informed of what is being done in your name.

When does payroll have to be reported to HMRC?

Payroll information is normally reported to HMRC through a Full Payment Submission (FPS) on or before the day you pay your employees. We prepare and file the FPS to that timing, and submit an Employer Payment Summary (EPS) where one is needed, for example to reclaim statutory payments or report a nil payment.

Can you handle statutory payments like sick pay and maternity pay?

Yes. We calculate statutory payments such as Statutory Sick Pay and the family-related statutory payments within the payroll, apply them to the correct periods and account for any amounts you are entitled to recover through the EPS. We will ask you for the underlying dates and evidence so the entitlement is worked out correctly.

What is the difference between what you do and what the pension provider does?

We handle the payroll-side administration: assessing workers each period, calculating contributions and producing the file of contributions. The pension provider operates the scheme itself, collects the contributions and manages the members' pots. Some duties, such as choosing and maintaining a qualifying scheme, rest with you as the employer.
