Your enquiry is also read by the regulated accountancy practice that carries out the professional work, so that it can review your request and advise you. Data protection law calls that a category of recipient, and it is named here as a category rather than individually.

Who receives your enquiry

When you submit the quote form, your enquiry is delivered exclusively to one regulated accountancy practice so they can review it and reply. Your enquiry is never sold, shared with multiple practices, or passed on as a marketing lead. The information is used solely to deal with your request and, if you become a client, to provide the services you engage the practice for. Quote enquiry details are not used for unrelated marketing.

What data we collect

We only collect the information we need to respond to you and provide our services. When you complete our quote request form, this typically includes:

• Your name;
• Your email address and telephone number;
• Your business name, if you give one, and your postcode;
• How you would prefer to be contacted;
• Information about your circumstances, for example the type of customer you are and the services you are interested in;
• Any additional details you choose to include in your message;
• Whether you asked to receive occasional emails from us.

The contact form asks only for your name, email address, telephone number and message.

We also record a small amount of technical information with each enquiry: the page the form was sent from, any campaign tags in that page’s address, the date and time, and which version of this notice you accepted. If you have allowed analytics, we also record the first page you opened and the page that linked you to us. Your enquiry is received and stored by the company that runs this website. It is only ever shared with the accountancy practice licensed to provide services through this website, and with no one else.

Why we use your data, and our lawful basis

We use the information you provide to:

• Respond to your enquiry and prepare a quote for you;
• Contact you about the services you have asked about;
• Provide our services if you go on to become a client;
• Keep records required for our own legal and regulatory obligations.

Our lawful bases for this processing are ordinarily the legitimate interest in responding to enquiries and running the practice, the steps needed to enter into a contract at your request, and, where relevant, compliance with a legal obligation. Where we rely on consent (for example for Google Analytics, which runs only if you accept it in the cookie banner) you can withdraw it at any time.

How long we keep it

Quote enquiries that do not become clients are retained for up to 24 months, then anonymised or deleted. Where you become a client, records are kept for as long as necessary to provide the services and to meet the legal, tax and regulatory retention periods that apply to accountancy work, after which they are securely deleted or anonymised.

Who we share it with

We do not sell your personal data. We share it only with trusted service providers who help us operate, acting as our processors under appropriate agreements, including:

• Our website hosting provider, which stores and serves this site;
• Our email provider, which delivers our correspondence with you. The alert we send ourselves when an enquiry arrives contains a reference number only, not your details.

We may also disclose information where we are required to do so by law or by a regulator. Where any provider processes data outside the UK, we take steps to ensure an appropriate level of protection is in place.

Your rights

Under UK data protection law you have the right to:

• Access the personal data held about you;
• Ask us to correct (rectify) inaccurate or incomplete data;
